Brief

Our client usually stage a one day Kick Off meeting early in the year to share strategy updates and goals for the year ahead. The pandemic meant if the event was going to happen at all, it was going to happen online. The challenge was how to engage the audience when there was so much business content to cover but could only be delivered to staff on a computer screen.

Solution

To help avoid screen time fatigue, the event was staged across three consecutive afternoons instead of a single day event.

Given a limited timeframe for planning and limited budget for the streaming platform, the event was delivered through Zoom Webinar. This offered an economical way of streaming the event to an audience of 150 people over multiple days.

We provided technical support from a remote studio to help the production run smoothly and make life easier for the company's support staff and speakers. We also facilitated rehearsals each morning to refine the running order, sequence of presentations and integration of any media.

To bring some interest and help embed messages, we used a graphic facilitator across the 3 days – an artist who tunes into the conference remotely and scribes digitally based on the meeting content. This output was then presented as a completed image at the end of each day and used to summarise the afternoon’s content.

As a finale to the three days and to inject some energy into the audience prior to the Awards ceremony, we got everyone connecting to their inner Maori spirit and performing the Ka Mate Haka – an interactive, fun and energetic conclusion to the event.
